Using Templates in CortexaNote

Templates help CortexaNote organize AI-generated information into a consistent clinical note structure.

What are templates?

Templates are tools designed to help you consistently structure your clinical notes and documents. They provide a framework for formatting CortexaNote's AI-generated content according to your preferred style.

Note template vs. document template

CortexaNote supports two types of templates: note templates and document templates. Separating templates by type makes them easier to organize and manage.

Note templates

Note templates are intended for clinical documentation that may be added to an electronic health record. These notes may be reviewed by colleagues or other healthcare professionals involved in the patient’s future care. This may include SOAP and consultation notes.

Document templates

Document templates are intended for other types of generated content that are not typically added directly to an EHR. This may include referral letters and patient instructions.

Default and queued templates

Default templates

Your default template is automatically selected whenever you create a new session. After the recording is processed, CortexaNote generates content using this template.

To set your default template:

  1. Navigate to Settings > Defaults.

  2. Scroll down to Session defaults.

  3. Open the Default note template dropdown.

  4. Select the template you want to set.

A Default tag will appear next to the template name when it has been successfully selected. You can only have one default template at a time.

Queued templates

Queued templates are also generated automatically after a recording is processed. However, queued templates are generated after your default template.

To add a template to your queue:

  1. Navigate to My Templates.

  2. Select the Actions menu (...) next to the template you want to add.

  3. Select Queue.

To remove a template from your queue:

  1. Navigate to My Templates.

  2. Select the Actions menu (...) next to the queued template.

  3. Select Remove from queue.

Creating a template

To create a template:

  1. Navigate to My Templates.

  2. Select + Create template in the upper-right corner.

  3. Describe a general idea of how you want your notes to be formatted.

  4. Select send.

  5. Rename your template by selecting the generated title in the upper-left corner.

  6. Use Settings in the upper-right corner to change the template type.

  7. In the Structure tab, AI will generate a format according to your description.

  8. If the template is not to your liking, you can then choose to edit it with the AI at the bottom of your screen or draw it out manually.

  9. After you've built a template to your liking, select Generate example. The Example tab will show you the template used in an example scenario.

  10. Once you're satisfied, select Save in the upper-right corner.

  11. Select Back to library to return to the notes homescreen.

Editing a template

To edit an existing template:

  1. Navigate to My Templates.

  2. Select the pencil icon next to the template you want to edit.

  3. Make your changes.

  4. Select Save.

Saving your changes creates a new version of the template. You can view previous versions using the version dropdown while editing the template.

Deleting a template

To delete a template:

  1. Navigate to My Templates.

  2. Select the Actions menu (...) next to the template you want to delete.

  3. Select Delete.

  4. Select Delete again from the pop-up to confirm.

Deleted templates cannot be recovered. However, deleting a template does not remove content that was previously generated with it. Content previously generated with the template will remain visible in past sessions.
