Wearing and placement
How should I wear the recorder?
We recommend clipping the recorder near your collar line with the microphone facing toward your head.
Make sure the recorder is secure and that nothing is blocking the microphone. Avoid covering the recorder with clothing or placing it somewhere that may rub against fabric during the session.
For best results, keep the recorder close enough to clearly capture both the clinician and the patient.

Before starting a recording:
Make sure your recorder is charged.
Check that the microphone is not covered.
Obtain patient consent before recording.

Blinking white | The recorder is on and ready to connect. |
Solid white | The recorder is connected to your device. |
Solid red | Recording in progress. |
Blinking red | Recording is paused. |
Solid blue | Wi-Fi transfer is in progress. |
Solid yellow | Recorder storage is low. |

Recording
How do I turn the recorder on?
Press and hold the power button on the side of your recorder for two seconds.
A solid white light indicates that your recorder is connected and ready to record. If the light is blinking white, the recorder is on but not yet connected.
How do I start recording?
Before recording, obtain the patient’s consent.
Press the power button once to start recording. The LED will turn solid red, indicating that recording is in progress.
How do I stop recording?
Press the power button once to stop recording.
The LED will change from solid red to solid white, confirming that the recording has stopped and the session has been saved.
After recording
After you stop recording, keep the recorder near your mobile device so the session can sync to the CortexaNote app.
Once syncing is complete, the session will be available in the app for transcription, review, and note generation.
Syncing
Does the CortexaNote Recorder sync automatically?
Yes. Your CortexaNote Recorder automatically syncs with the app while the devices are connected. Keep the recorder near your device until syncing is complete.
Fast transferring
Fast transfer, also called Wi-Fi transfer, lets you sync files up to 20 times faster than standard Bluetooth syncing. This is especially helpful when transferring large files or multiple files at once.
Fast transfer works by creating a temporary hotspot from your CortexaNote Recorder.
Before using fast transfer:
Make sure the CortexaNote app has access to your local network.
Make sure Wi-Fi is enabled on your mobile device.
To use fast transfer:
When your recorder starts syncing, select Fast Transfer from the app's home screen.
You’ll be prompted to join a new network named after your recorder and serial number; select Join.
After a few seconds, fast transfer will begin.
Once the transfer is complete, your mobile device will reconnect to your original network.
What should I do if syncing does not start?
Make sure your recorder is powered on.
Keep the recorder close to your mobile device.
Confirm that Bluetooth is enabled.
Make sure the CortexaNote app is open.
Taking care of your recorder
Charging your recorder
Place your recorder in its charging case to start charging.
If the charging case battery is low, connect the case to a power source using the provided USB-C cable.
Can I use the recorder while it is charging?
Yes, the recorder can continue to record while inside its charging case.
When recording while charging, make sure the recorder is placed so the microphone can still clearly capture the conversation.
How do I know if the battery is low?
The LED on your recorder will start blinking purple.
What is the battery life?
The recorder provides more than eight hours of continuous recording on a full charge.
Cleaning your recorder
Dampen a soft cloth with 70% isopropyl alcohol or any equivalent medical-grade disinfectant.
Gently wipe all surfaces.
Allow the recorder to dry completely before reuse.
Do not immerse the recorder in liquid, spray disinfectant into its openings, or clean it with abrasive materials.
