Navigating the CortexaNote Web Platform

Get familiar with the layout and features of the CortexaNote web platform.

When you first log in, the main menu appears on the left side of your screen. At the top of this menu is Scribe, which serves as your workspace for all patient sessions.

Selecting Scribe opens a workspace where you can view all patient sessions linked to your account. New accounts will see this area empty at first, but it will populate as sessions are created.

Creating a new session

To create a new session, select New Session from the left-hand menu, then open the session in your workspace.

Identifying your session

To keep your workspace organized, sessions should be given unique names immediately. You can edit the session title directly by selecting it, and it will be saved when you click outside the text box. Press the link icon next to the title to link a patient.

Context

Context allows you to add information that might not be spoken aloud during the visit. The context window is located directly below the session title.

  1. You can enter relevant patient details, visit notes, or any information you want CortexaNote to consider.

  2. Context can be added at any time—before, during, or after the session.

Starting a recording

  1. Click Transcribe in the upper-right corner to begin.

  2. If prompted for patient consent, confirm that everyone being recorded has provided consent.

  3. Select Start Recording.

  4. Ensure the correct microphone is selected before speaking.

  5. Check that the sound bars respond to detected audio.

CortexaNote captures the full conversation and generates notes from the session.

Pausing and ending a recording

Pause or resume a recording at any time from the upper-right corner of the screen. When the session is finished, click End in the upper-right corner.

Finding your transcript

  1. Open the session.

  2. Click the Transcript tab to view your transcript.

  3. If you have just finished recording, allow a minute for your transcript to process.

Generating notes and patient instructions

Generated documents are created by AI based on your session. Depending on your selected template, these may include SOAP notes, progress notes, intake notes, patient instructions, or other documentation used in patient care.

  1. Open the session you want to review.

  2. Select the + button next to the Transcript tab.

  3. Choose a template you want to use.

  4. CortexaNote will begin generating your notes.

After a document is generated, view it from the tabs in the center of the session screen. To create a new version, open the three-dot menu (...) within the document and select Regenerate.

Dictating

Dictation converts your spoken words directly into text. Use this feature to take notes, answer questions, or draft documents hands-free.


Tasks

Moving down the left-hand menu, you will find Tasks. Tasks are automatically generated as you progress through your sessions, but you can also add them manually at any time.


Template library

The My Templates tab contains CortexaNote’s template catalog, as well as any custom templates you create.

Can CortexaNote be used without an internet connection?

The CortexaNote web platform requires an internet connection to record and generate notes.
